Operations Assistant
The Operations Assistant will help with the organization and running of the daily administrative operations of the school, support a myriad of office tasks and work diligently under the supervision of the Operations Manager. The ideal candidate will possess a keen attention for detail, be highly organized, have excellent interpersonal skills, maintain confidentiality, and have excellent problem-solving skills.
Responsibilities
- Organize office and assist staff in ways that optimize procedures.
- Sort and distribute communications in a timely manner.
- Create and update records ensuring accuracy and validity of information.
- Schedule and plan meetings and appointments.
- Monitor level of supplies.
- Resolve office related malfunctions and respond to requests or issues in a timely manner.
- Coordinate with various departments to ensure compliance with established policies.
- Maintain trusting relationships with suppliers, customers, and colleagues.
- Provide general support to visitors and callers.
- Perform receptionist duties when needed.
- Making copies and distributing materials to classes or students.
- Supporting after-school and family events, as necessary.
- Maintaining student files.
- Maintaining storage and supply areas.
- Performs other duties as assigned.
- Minimum of 2 years of work experience as an Operations/Office Assistant or similar administrative role required.
Qualifications
- High School Diploma or General Equivalency Diploma (G.E.D.) required.
- Working knowledge of office equipment (Xerox, Phones, Fax Machines, etc.) required.
- Thorough understanding of office management procedures required.
- Excellent organizational and time management skills required.
- Analytical abilities and aptitude in problem solving required.
- Excellent written and verbal communication skills required.
- Proficiency in MS Office Suite (MS Word, Excel, PowerPoint, Outlook) required
