Quinnipiac University invites applications for the position of Administrative Assistant for Academic Affairs. This position will support the administrative functions for the Office of Academic Innovation and Effectiveness and the Honors Program, within Academic Affairs. About Quinnipiac:

Responsibilities
- Support administrative operations including, but not limited to, p-card purchases, invoice processing/payments, expense tracking, budget transfers, reimbursements, event planning, meeting scheduling, travel/transportation arrangements, and mailings.
- Coordinate logistics for Honors Program events, including room reservations, facilities requests, catering, transportation arrangements, and related event support.
- Provide graduation and conference support, including ordering and preparing certificates, signage, name tags, cords, medallions, and ribbons.
- Support the First-Year Seminar program with course schedule entry, event planning, expense tracking, reimbursements, and payments.
- Order and maintain office and event supplies and equipment.
- Prepare, print, copy and distribute meeting and event materials.
- Assist with budget management, expense tracking, and financial documentation
- Perform data entry into university information systems and for external reporting.
- Proofread documents, e.g., Academic Calendar drafts.
- Scan confidential documents into university information systems.
- Provide purchasing, payment, printing and organizational support for student and faculty awards.
- Other duties as assigned.
Education Requirements
• High School Diploma or GED required
Qualifications
- Demonstrated experience providing administrative and operational support in an academic, nonprofit, or professional office environment.
- Experience with purchasing and financial processes, including p‑card transactions, invoice processing, reimbursements, expense tracking, and budget documentation.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and events simultaneously.
- Experience coordinating events and logistics, including room scheduling, catering, facilities requests, transportation, and preparation of event materials.
- Proficiency with standard office software (e.g., Microsoft Word, Excel, Outlook) and the ability to learn and use institutional financial and information systems.
- Accurate data entry skills and attention to detail, particularly when working with financial records, academic materials, and external reporting.
- Excellent written communication skills, including proofreading and preparation of professional documents and materials.
- Ability to handle confidential information with discretion and professionalism.
- Flexibility to assist with special projects and perform other duties as assigned, including support for awards, graduation activities, and conferences.
- Proven ability to collaborate effectively with individuals from varied backgrounds.

- Please note this is a Grade 6 position in the Clerical & Technical Union.
- The starting hourly rate is $26.88, effective 7/1/2026 it will increase to $27.69.
- In addition, you are eligible for an additional .75 per hour if you have a bachelor’s degree or .35 per hour if you have an associate degree.
- This is a full‑time position with a 35‑hour workweek.
- This position requires the successful completion of a Microsoft Office skills test, proofreading test, and background check.
