Job description

  • USC Department of Anesthesiology, Program of Nurse Anesthesia is seeking a highly organized, detail-oriented Program Assistant to support the day-to-day operations of a dynamic graduate-level program.
  • This individual will play a key role in coordinating administrative functions, supporting student clinical scheduling, and ensuring efficient program operations in collaboration with faculty and staff.
  • Essential job duties include, but are not limited to: Coordinate and manage nurse anesthesia student rotation schedules.
  • Collaborate with the clinical site on student credentialing Maintain and track student case logs and related documentation Organize and prepare application files for program admission Coordinate admission, orientation, and graduation processes Support program operations through ongoing administrative duties, including document preparation, correspondence, and recordkeeping Collaborate closely with a second administrative assistant to ensure continuity and efficiency of workflow Manage multiple projects simultaneously and prioritize tasks in a fast-paced academic environment Facilitate communication among the program, students, faculty, clinical training sites, and other stakeholders.
  • Assist with budget tracking, including reviewing and interpreting budget ledgers Utilize and adapt to various scheduling systems and program-specific applications Provide general support to the Program Director and Assistant Program Director Required Qualifications: Bachelor’s degree (BA or BS required) & 1 year of related work experience Strong proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) Demonstrated experience with scheduling systems and calendar management Ability to interpret basic budget or financial ledger information Excellent organizational skills with the ability to manage multiple ongoing projects Strong attention to detail and problem-solving skills Effective written and verbal communication skills Ability to work collaboratively in a team-based environment

Preferred Qualifications

2+ years of related work experience Experience in an academic or healthcare setting Familiarity with clinical scheduling or healthcare education programs Experience with database management or student information systems Follows established USC and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan. This position is hybrid on-site and employee must report to work at the USC Health Science Campus in Los Angeles, CA when scheduled. Work hours and on-site days may be subject to change depending on business needs. The hourly rate range for this position is $26.75 - $28.85.
