- The Phase 2 / Clerkship Specialist is responsible for the implementation, promotion, and enhancement of the quality of the student educational experience from transitional through the advanced clinical rotations.
- This role oversees the administration of one clerkship while some specialists are tasked with a longitudinal clerkship or a clerkship in addition to Advanced Clinical Rotations.
Responsibilities
A day in the life of a Phase 2 / Clerkship Specialist at Hackensack Meridian Health includes: Manages and delivers administrative support related to the clerkships, including communication, distribution of course materials and interfacing with the Learning and Curricular Management systems. Oversees the implementation, adherence, monitoring and continuous improvement of all policies and procedures related to clerkships, including those regarding safety and operations. Oversees the preparation and processing of evaluation reports according to the Curriculum Management Plan and related policies ` as related to students, faculty, other partners, and the clerkship generally. Provides support in all clerkship related activities, including but not limited to student rotation assignment, scheduling, assessment, didactics, etc. Supports the development and implementation of existing and new clerkship sites while supporting the activities of leadership with clinical faculty. Maintains a roster of affiliated institutions and physicians, as related to each department and clerkship, and keeps track of activities related to student teaching. Main point of contact for site administrators to meet student onboarding requirements of forms and information. Maintains list of preceptors with relevant contact information, and acts as primary liaison between preceptor and SOM. Schedules, updates and records the mid-clerkship formative evaluations and the final summative evaluations for each student in each clerkship. Supports faculty recruitment among local physicians in the community. Plans and executes events, meetings and trainings. Oversees and provides the Office of Medical Education with student assessment data, grades, competency assessments and other student performance data. Meets on a regular basis with the other Phase 2/Clerkship Specialists as well as SOM leadership to address common needs and share best practices. Participates in SOM related activities, including serving on curriculum operations and other committees, participates in the SOM`s Curriculum Management Plan and participates in accreditation-related activities. Communicates with the SOM, faculty, and students detailing rooms, transfer information and announcements. Creates schedules and participates fully in core curriculum days within the simulation center as part of the clerkship program. Uploads and creates courses in LMS. Runs compliance reports related to policies. Other duties and/or projects as assigned. Adheres to HMH Organizational competencies and standards of behavior.

Knowledge, Skills and Abilities
Required: Bachelor`s degree in Education, Public Health, Healthcare Administration and a minimum of 1 year of relevant experience OR an Associate`s degree Education, Public Health, Healthcare Administration with a minimum of 2 years of related experience. Experience working in a higher education or medical education environment, ideally in a School of Medicine preferred. Detail-oriented, ability to work independently, or in a team, and handle multiple deadline driven tasks in a dynamic environment is essential. Ability to work in a fast-paced environment and manage competing tasks and demands. Ability to maintain confidentiality when working with sensitive materials. Excellent written and verbal communication skills. Proficient computer skills that include but are not limited to Google Suite and/or Microsoft Office platforms.
