Part-Time Administrative & Compliance Coordinator Village Square Learning Location: 815 W King Street. We are seeking an organized, dependable, and detail-oriented Administrative & Compliance Coordinator to support daily operations and ensure our records and regulatory standards remain current and compliant.
Position Summary
The Administrative & Compliance Coordinator will oversee student and employee records management, assist with administrative operations, and monitor ongoing compliance with licensing and regulatory agencies including childcare licensing, fire safety, health department, and related state requirements. Key Responsibilities Administrative & Records Management Maintain accurate and organized student files, enrollment records, immunizations, attendance, and required documentation Maintain confidential employee personnel files, certifications, background checks, trainings, and onboarding records Manage digital and paper filing systems Assist with phone calls, emails, scheduling, and front-office communication Prepare reports, forms, and administrative correspondence as needed Compliance & Regulatory Oversight Monitor deadlines and requirements for: Fire Marshal / Fire Safety inspections Health Department requirements DHHR / Childcare Licensing regulations Staff certifications (CPR, First Aid, training hours, etc.) Conduct internal audits of files and compliance documentation Prepare for announced/unannounced inspections and visits Ensure classrooms and operations maintain required documentation and standards Operational Support Assist ownership/director with policies, procedures, and operational systems Track supplies and administrative needs Help improve organization and efficiency across the center Qualifications Previous administrative, office management, HR, or childcare center experience preferred Strong organizational skills and attention to detail Ability to handle confidential information professionally
Excellent communication and computer skills Familiarity with childcare licensing or regulatory compliance is a strong plus Self-motivated and able to work independently Schedule Part-Time (approximately 20–30 hours per week) Flexible hours may be available based on candidate experience and center needs Compensation Competitive hourly pay based on experience
