Basic Functions

Conducts degree audits for graduate online students. Works closely with faculty online program managers, online program directors, and faculty student service officers to ensure that the degree compliance evaluation is as accurate as possible, given faculty/school decisions regarding course attributes, exemptions, and substitutions. Is responsible for the production of the university documents of the online students.

1. Duties Performed

• Degree Audit (60%)

Conducts degree audits using a combination of CAPP compliance reports, checklists, and other tools.

Implements petitions and course attributes on CAPP.

Assists in graduation-related activities.

Assists in the preparation and printing of degrees and diplomas.

Assists in degree and diploma distribution, both in conjunction with commencement and throughout the year.

Works at the commencement exercises on behalf of the Office of the Registrar (online degree students are allowed to march in the commencement ceremony).

  • Performs other related duties as requested.
  • Document processing and delivery (30%)

Prepares requested transcripts/certificates for pre-checking.

Prints requested transcripts/certificates.

Scans transcripts/certificates and related forms meant for electronic delivery.

Seals physical transcripts/certificates in envelopes for pickup by requestor or courier and files these at the Registrar’s window.

Ensures service standards are met. • Other Duties as Assigned: (10%)

Responsible for creating a collaborative work environment and engaging across functions so that the work of the office is done. Responsible for assisting clients in a professional manner.

2. Work Contacts

Frequent work contacts with the Assistant Registrar for Graduation, Assistant Registrar for Curriculum, online program managers and program directors, faculty executive officers, faculty student services staff, and other members of the Office of the Registrar and of the Graduate Council.

3. Independence of Operation

Reports to the Assistant Registrar for Graduation. Works according to well-established procedures and specialized clerical, administrative, or technical standards. Completed work is spot-checked.

4. Supervisory Responsibility

None.

5. Physical Effort

90% office environment.

10% physical effort required at commencement.

6. Work Conditions

Clean and pleasant.

7. Minimum Requirements

1. Bachelor’s Degree. 2. 3 years or relevant work experience. 3. Excellent communication skills in English and Arabic (both written and oral). French is a plus. 4. Knowledge of curriculum functioning is a plus. 5. Good knowledge of Microsoft Office Suite. 6. Knowledge of Banner and CAPP is a plus.
