Position sumamry

The Employee Experience and Onboarding Coordinator is responsible for creating a consistent, welcoming, and structured experience for all new employees from pre-employment through their first 90 days and beyond. This role coordinates onboarding processes, facilitates Day 1 experiences, and supports early employee engagement and retention initiatives. Working collaboratively with Human Resources, supervisors, and campus partners, this position ensures new employees are equipped with the tools, information, and connections needed to be successful at Hutchinson Community College.

Responsibilities

The following statements are intended to describe the essential functions of this position. They are not intended to be an exhaustive list of all responsibilities, duties, and skills required.   • Coordinate and manage the full onboarding process from offer acceptance through the first 90 days of employment.
  • Facilitate a consistent and positive Day 1 experience, including coordination with HR, IT, supervisors, and other departments.
  • Develop, maintain, and implement onboarding materials, checklists, and schedules.
  • Conduct and track new hire check-ins (e.g., 30-, 60-, and 90-day touchpoints) to support engagement and early retention.
  • Coordinate and support new employee orientation sessions and benefits-related meetings.
  • Serve as a primary point of contact for new employees, providing guidance, resources, and timely communication.
  • Partner with supervisors to ensure onboarding expectations are met and new employees are successfully integrated into their roles and departments.
  • Track onboarding progress, identify trends, and recommend improvements to enhance the employee experience.
  • Assist with offboarding processes, including coordination of exit procedures and feedback collection.
  • Support broader employee experience initiatives aligned with institutional goals and culture.
  • Maintain accurate records and documentation related to onboarding and employee experience processes.
  • Participate in institutional committees and contribute to departmental and campus-wide initiatives.
  • Ensure compliance with all Hutchinson Community College policies, procedures, and practices.
  • Demonstrate reliability through consistent attendance, punctuality, and successful completion of assigned responsibilities.
  • Participate in approved professional development opportunities, including involvement with organizations such as the Society for Human Resource Management (SHRM).
  • Arrive on time for work, attend work regularly, and successfully complete the responsibilities of the position.
  • Perform other duties and responsibilities as assigned by the Director of Human Resources.

  • High school diploma or equivalent.

  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency in personal computer applications, including Microsoft Office Suite, Adobe, and general Windows-based systems; strong keyboarding and data entry skills required.
  • Ability to work independently while managing multiple priorities, meeting deadlines, and maintaining accuracy in a fast-paced, multi-objective environment.
  • Strong organizational skills with demonstrated initiative and the ability to be a self-starter.
  • Dependable, detail-oriented, and able to consistently produce high-quality work.
  • Strong communication and interpersonal skills, with the ability to effectively listen, understand, and respond in a professional manner.
  • Ability to perform sedentary work, including extended sitting, repetitive tasks, and use of computers and standard office equipment, with or without reasonable accommodation.

Preferred

Associate’s degree or higher preferred. Experience in human resources, onboarding, training, or employee engagement preferred. Working experience at a Community College. Working knowledge of BambooHR, Softdocs, and/or Paylocity systems. WAGE & STATUS

The hourly rate of pay is commensurate with qualifications, as determined by Hutchinson Community College. This is a full-time, benefit-eligible, non-exempt support staff position. Employment is at-will and scheduled on a 12-month, year-round basis.

Satisfy the duties of a Campus Security Authority (CSA) relating to Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (“Clery Act”) by: Promptly reporting Clery Act crimes and/or allegations of Clery Act crimes to the designated HutchCC official(s) in accordance with applicable laws, policies, and procedures.

Completing any HutchCC provided CSA training regarding campus safety and crime reporting issues.

Assisting in the issuance of timely warnings and emergency notifications in accordance with applicable laws, policies, and procedures.

Serving as a resource to students, employees, and others regarding crime prevention, reporting, and victim assistance; and Collaborating with the Coordinator of Campus Safety, the Coordinator of Title IX & Title VI, and the Director of Human Resources, regarding campus safety and compliance issues.

A professional counselor, as designated by HutchCC and whose official responsibilities include providing mental health counseling to members of the HutchCC community, may be exempt from reporting Clery Act crimes and/or allegations of Clery Act crimes when functioning within the scope of the counselor’s license or certification.

Requirements

A high school diploma is required, with an associate's degree or higher and experience in HR or onboarding preferred. Candidates must be proficient in Microsoft Office and possess strong organizational and communication skills.
