FLSA: Hourly, Non-Exempt POSITION OVERVIEW The Administrative Assistant in Faith Formation will assist the Director with all aspects of the Faith Formation program, such as catechetical, social, liturgical and stewardship. Additionally, act as spokesperson with parents, program participants, volunteers, and Diocesan personnel to provide effective and accurate communication based on the overall purpose of the Faith Formation Office. PRIMARY DUTIES AND RESPONSIBILITIES
Assist the Director of Faith Formation with goals, objectives, and strategies for the total Faith Formation Program.
Assist with the coordination of liturgical, sacramental functions and ensure all sacramental records are entered accurately and timely and in accordance with Diocesan guidelines.
Communicate with participants, parents, and parishioners to keep them informed of Faith Formation efforts.
Assist with the recruitment of Catechists, ensuring that safe environment requirements for background clearance and Protecting God’s Children workshop attendance are met.
Direct questions and concerns from Catechists to the Director of Faith Formation in a timely manner.
Assist with supply requests from Catechists, ensuring these supplies are readily available each week for the appropriate session.
Input registration information for approximately 200 students and update information as changes occur.
Track attendance and record on a weekly basis digitally as well as paper copies.
Track stewardship hours required of children in the Faith Formation Program.
Assist in responding to emails, phone calls and to the needs of families at the direction of the Director of Faith Formation.
Assist with all aspects of yearly Vacation Bible School including recruiting volunteers, advertising, registration, teen volunteer supervision, set-up, decorating, obtaining supplies, and ensuring the safety of all attendees.
Conduct routine fire drills and monitor the safety of all students during the school year.
Report maintenance issues and concerns to the Head of Maintenance to ensure safety.
Assist with paperwork, set-up and clean-up for all Sacramental Retreats.
Other duties as needed.
Knowledge, skills, and abilities
Basic understanding of Catholic Teachings and Scripture.
Personal commitment to Christ, the Catholic Church; ability to embrace the mission of the Parish.
High school diploma or GED required, higher education degree or certification in a related field preferred.
Strong computer skills and knowledge of Microsoft Outlook, Word, Excel, Power Point, Publisher, and various social media platforms.
Ability to use resources such as projectors, DVD, etc.
Demonstrates discretion and confidentiality, integrity and honesty.
Effective organization, communication, and interpersonal skills.
Ability to follow instruction, multi-task, be detail oriented, flexible, and work well independently.
Contributes to a professional atmosphere of teamwork and cooperation among all the parish staff and volunteers.
Ability to transport materials and equipment up to 20 pounds to and from various locations.
LANGUAGE SKILLS Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.
MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY Ability to define problems, collect data, establish facts, and draw valid conclusions.
Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
