The Administrative Assistant will manage IEP records, track deadlines, and coordinate meetings with school staff and districts. Additionally, the role involves handling general office duties such as timesheet management, mail processing, and front desk coverage.
We are seeking an organized and dependable Administrative Assistant to support IEP coordination and daily business office operations. This position works closely with school staff, administrators, and districts to maintain accurate records, meet important deadlines, and support efficient school operations.
Key responsibilities
Organize and maintain current and archived IEP records and binders.
Track IEP meetings, reports, progress updates, goals, and required deadlines.
Notify staff of upcoming meetings and paperwork requirements, following up as needed.
Coordinate with school districts to obtain completed and accurate IEP documents.
Maintain the Master IEP document and other student data records.
Ensure appropriate access logs and document-handling procedures are followed.
Prepare meeting spaces and provide administrative support for IEP Team meetings.
Guide new staff on report submission and IEP procedures.
Manage the timesheet process, including distribution, filing, communication, and staff follow-up.
Handle daily outgoing mail and order conference room refreshments.
Provide scheduled or as-needed front desk coverage.
Assist with school-wide events and other general office duties.
Celebrate the Children is an EEOE M/F/V/D in accordance with applicable local, state, and federal laws.
A salary range is provided in accordance with New Jersey pay transparency laws. Final salary is determined using a structured salary grid, taking into account years of relevant experience and educational qualifications, and is subject to the maximum limits established by the New Jersey Department of Education and the discretion of the Board of Directors. The salary provided is for a 11-month contracted position.
