Position Summary

The Head Start Administrative Assistant provides administrative support to the Head Start Director in coordinating program operations, including training, contracts, and public relations. This role also assists with policy development and long-range planning, and collaborates with Coordinators to ensure services are integrated, aligned with program work plans, and compliant with Head Start Performance Standards. The ideal candidate demonstrates commitment to the Agency’s mission, vision, code of ethics, and strategic goals. Compliance with the drug- and alcohol-free workplace policy is required. This position is contingent upon continued program funding. TYPICAL DUTIES AND RESPONSIBILITIES ESSENTIAL: · Interact with Head Start participants, community members, and staff in a respectful and professional manner that reflects Head Start’s mission. · Complete various administration tasks for and in concert with the Director and Program Managers, including functioning within an active calendar, preparing correspondence, arranging details with meetings, agendas, meals, other reports, and functions as needed. · Maintain office inventory and maintenance records. · Assist in writing vouchers to pay invoices. Assist in researching and developing grant proposals for program improvement and expansion of early childhood development and family services programs. This consists of the self-assessment and the Annual Head Start Report to the public. · Reviewing program audit reports and assisting in addressing findings or performance issues; coordinating corrective actions and monitoring progress under the guidance of the Head Start Director. · Attend staff meetings, workshops, and in-service training provided by the agency, as requested. · Adhere to the ECKAN code of ethical conduct in all work activities. · Maintain confidentiality of all agency and program information. · Maintain accurate and up-to-date records per policies and procedures. · Perform other duties as assigned to support the Head Start program and agency objectives.

Requirements

QUALIFICATIONS ESSENTIAL: · A bachelor’s degree is preferred, but candidates with equivalent relevant experience, including Head Start/Early Head Start experience, are encouraged to apply. · Minimum three years of progressively responsible supervisory/management positions, including experience with boards and advisory committees. · Be able to pass the required KBI, background, and health tests. · Strong written and oral communication skills, with excellent organizational abilities. · Must be able to participate in daily kneeling, stooping, bending, and sitting on the floor, and occasionally lifting up to 40 pounds. · Possess a valid driver’s license and comply with ECKAN insurance standards, as applicable. · Proficiency in general office procedures and computer applications.
