About the role

The assistant coordinator recruits, trains, and manages volunteers to support literacy and citizenship programs for immigrant students. They also maintain program databases, handle volunteer communications, and assist with reporting and event organization.

Literacy Volunteer Program Assistant Coordinator

Position description

Under the supervision of the ESL Literacy and Citizenship Coordinator the Volunteer Program Assistant Coordinator helps to contact and onboard volunteers for the Adult Volunteer Literacy program, helps maintain attendance records, volunteer files, volunteer contacts, and records to carry out the Secretary of State Adult Volunteer Literacy program at Instituto del Progreso Latino and auxiliary volunteer efforts that serve IDPL students. The main function of the program is to help provide literacy and basic skills (GLE in first language 1 – 6) to Spanish speaking immigrants with low literacy levels and help them to pass the Citizenship naturalization test. To achieve this, the assistant coordinator helps to recruit, train, and assign a group of 50 local and city-wide volunteers who tutor students in basic skills, and ESL, and practice for the naturalization exam.

Essential duties and responsibilities

Assists candidates in filling out program registration and paperwork forms to become volunteers.

Helps to recruit, train and assign tutors according to their skills and interests.

Answers emails and proactively reaches out to volunteer candidates to arrange site visits to Instituto.

Helps to train and connect volunteers with Literacy Volunteer training provided by Illinois adult education and literacy agencies (ScaleLit, IDPL, Community College Board).

Helps to fill out program database such as Excel, Salesforce and assists with Adult Volunteer Literacy quarterly program reports.

Maintains contact with volunteers through email, phone calls, and in person as directed by the program coordinator.

Helps organize volunteer recognition events, volunteer training, and promotes retention of volunteers.

Helps facilitate a variety of volunteer involvement through interview practice, one on one tutoring, language partners, and other volunteer support activities for students and administrators.

Attend program meetings in representation of Instituto del Progreso Latino.

Must be available evenings as required and Saturday mornings until 2 pm.

Attends Adult Volunteer Literacy program and volunteer management training

  • High School Diploma or equivalent
  • Some College credits preferred
  • Excellent oral and written communication skills, bilingual English/Spanish
  • Team player and willing to take on multiple tasks at once and independent worker, requires minimal supervision
  • Exceptional organization and time management skills
  • Above average customer service skills
  • Strong telephone skills and ability to maintain composure under pressure
  • Dependable and punctual
  • Ability to adhere to deadlines, react to unpredictable events quickly and efficiently, be resourceful, manage conflict and challenges
  • Proficient in skills with Microsoft Office, Word, Excel, PowerPoint, use of Email, and Internet browser platforms.

Physical demands

Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files. Position involves lifting, pushing, bending, and reaching.

Working conditions

Majority of work performed in a general office environment. Position requires availability for extended hours plus non-traditional hours required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings.

Requirements

Candidates must have a high school diploma or equivalent and possess excellent bilingual English/Spanish communication skills. Proficiency in Microsoft Office and the ability to work evenings and Saturday mornings are required.
