Game operations support/Onboarding assistant position summary

Bishop O’Dowd High School is seeking a highly organized and dependable Game Operations Support / Onboarding Assistant to support the Athletics Department. This position plays an important role in ensuring the smooth operation of athletic events and practices, particularly as the school expands its programming with the addition of Girls Flag Football in the 2026–2027 school year.

In addition to game operations, this role supports the onboarding of seasonal coaches by coordinating and tracking required employment and compliance documentation. The ideal candidate is detail-oriented, proactive, and enjoys working in a dynamic, team-centered school environment.

Game operations support/Onboarding assistant key responsibilities

Game Operations Support (Primary – approx. 200 hours/year)

  • Assist Athletic Directors with the coordination and execution of home athletic contests and practices
  • Support game-day operations, including setup, logistics, and coordination of personnel
  • Help ensure events run smoothly and in alignment with school, league, and CIF guidelines
  • Supervises student game operations interns during a home athletic contest
  • Provide administrative and operational support during high-volume athletic seasons
  • Serve as a point of support for coaches, officials, and event staff as needed

Coach Onboarding & Administrative Support (Approx. 40 hours/year)

  • Coordinate onboarding for all seasonal and new coaches
  • Track, monitor, and follow up on required employment paperwork and compliance items (e.g., certifications, background clearances, HR forms)
  • Communicate regularly with coaches to ensure timely completion of onboarding requirements
  • Maintain accurate and organized records in collaboration with Athletics and Human Resources
  • Insuring coaches are up to date with Coaching Certifications and Final Forms Compliance
  • Game operations support/Onboarding assistant qualifications
  • High School Diploma or equivalent
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Clear and professional communication skills
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Proficiency with basic administrative tools (Google Workspace, email, spreadsheets, etc.)
  • Prior experience in athletics, education, or administrative support is preferred but not required
  • Schedule & hours
  • Maximum of 240 hours per school year
  • Approximately 200 hours for game operations support
  • Approximately 40 hours for coach onboarding support
  • Schedule varies based on athletic seasons, including afternoons, evenings, and occasional weekends
  • Up to 22 hours per week across all roles at Bishop O’Dowd
