Job Summary

  • The Administrative Assistant provides a broad range of administrative and support duties of a highly responsible and confidential nature.
  • This position is responsible for preparing special reports, papers, presentations, and memoranda by gathering, summarizing, and analyzing information.
  • The Assistant works somewhat independently.
  • This position communicates with a diverse population, including faculty, staff, students, board members, physicians, hospital staff, and outside stakeholders.
  • The Administrative Assistant is under the general direction of the Vice President of Strategy and Integrated Planning, responsible for an on-site, 8 hours per day, 5 days per week.
  • This position could be subject to hours beyond the normal workday.

Job Responsibilities

  • Compiles, prepares, and analyzes reports to provide necessary data / information for decision making by gathering information in a confidential manner, utilizing appropriate resources.
  • Communicates clearly and effectively by using outstanding verbal and written skills to clearly convey information to all audiences.
  • Independently and competently utilizes university information systems to maintain records, correspondence, and reports and to facilitate timely communication by staying abreast of current software and telecommunications systems.
  • Maintains an organized and efficient office by keeping department files and records in an accessible, orderly, and current condition to assure continuous workflow.
  • Perform other accountabilities as assigned or directed.

Minimum Requirements

  • Bachelor’s Degree or equivalent experience.
  • Two (2) years of experience in an academic or other relevant office setting.
  • Proficiency in maintaining confidential records, word processing, and data entry, with strong command of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint, etc.); familiarity with AI-assisted tools; and expertise in the operation of computers and general office equipment.

  • Bachelor’s Degree or equivalent, plus five (5) years of operations experience in an academic or other appropriate office setting.
  • Exceptional organizational and communication skills, with a demonstrated ability to gather, analyze, and process student, personnel, or financial data and provide informed recommendations for improved operational efficiency.
