About the role

The Center Assistant ensures the efficient functioning of the office by managing attendance, maintaining organized filing systems, and providing clerical support to the director. They are also responsible for ensuring compliance with Head Start Performance Standards and assisting with classroom ratios and kitchen operations.

Position Summary

Ensure center office is functioning efficiently, based on program guidelines and performance standards and other regulatory bodies.

Duties and Responsibilities

  • Maintain professionalism and control of the center level, by providing and promoting a positive atmosphere to staff, children, visitors and our child development center families.
  • Manage attendance process and protocol. 1. Maintain attendance sheets for the children and the staff. 2. Compile a weekly and end-of-the-month report with attendance information, including the total number of children enrolled under various funding sources. 3. Maintain visitor, volunteers and any other attendance log.
  • Assist center director with all clerical duties as needed.
  • Create and maintain an organize center filing system.
  • Maintain staff DCF folders organize and up to date with the required documentation.
  • Ensure Staff credential binders and Medical binders that belongs to the HR department are organize and up to date with the required documentation.
  • Open and maintain a file for each child.
  • Assist the social worker and coordinators with parents and children paperwork follow up.
  • Ensure documentation left for social worker, center director or coordinators are delivered to them in a timely manner.
  • Type all correspondence, reports; children care records, newsletters, forms and other work for the center.
  • Prepare materials and agenda for meetings conducted by the Center Director and keeping minutes on a timely manner.
  • Maintain departmental purchase order records.
  • Assist placing assistants and substitute teachers in classes when needed, as per classroom guidelines.
  • Assist center director into ensure classroom ratio is maintain at all times.
  • Assist on maintain all licenses current at all times, process payments and continue doing follow up calls until licenses are received.
  • Assist in the preparation, documentation of meals, and daily operation of the kitchen in the absence of any of the Food Handler.
  • Responsible to the walkie- talkie radio system at the center. Ensure equipment is in correct standing charger station at the end of the day. Keep inventory.
  • Ensure completion of all paperwork relating to the child food program.
  • Responsible for posting the menus on the bulletin boards.
  • Insure required documentation and reports are maintained utilizing a ChildPlus tracking system to ensure compliance with the Head Start Performance Standards and other regulations.
  • Assure confidentiality of records.
  • 1. Maintain integrity of ChildPlus data system with current information at all times.
  • Ensure that child’s data is entered into the appropriate data integrity system(s).
  • Attend in-service training, meetings and any other training required as required.
  • Work with staff, participants and the public in a professional and concerned manner.
  • Performs other duties as assigned by supervisor.

Physical Demands

  • Regular to frequent requirement, and as needed, to lift children (up to 50 lbs.), including bending, stooping, stretching, walking, squatting, pushing, pulling, kneeling, crawling, sitting on low chairs or on the floor. The work is in a childcare setting, Although, the majority of the work is sedentary while conducting intakes, telephoning clients, maintaining client files and preparing reports, all employees may be exposed to the following physical demands.
  • In order to conduct classroom activities and interact with children in a meaningful way, some physical exertion such as the following physical demands are required: 1. Noise level can be moderate to loud 2. Detecting unsafe situations by sight or sound. 3. Moving quickly to intervene in unsafe situations.

Educational & Experiential Requirements

  • High school diploma with related experience.
  • Child Plus database experience preferred.
  • 45 DCF training hours.
  • Bilingual preferred.
  • Ability to effectively communicate, verbally and written, with diverse (educational background, cultural, race and ethnic) groups or individuals.
  • Strong computer skills. Proficiency with Microsoft Office applications and accounting software.
  • Ability to work under pressure, maintain accuracy and meet deadlines.

Work a flexible schedule as required.

Successful completion of background process which includes Local background check, Level 2 clearance (FBI, FDLE), clear TB test, medical clearance, drug test and reference checks.
