Job Description
The Departmental Assistant provides clerical and administrative support to members of the Department of Economics, the Department of Business, and the Department of Politics and Law for both the undergraduate programs and the MS in Accounting program. Job Qualifications: HS Diploma or GED required. One year of administrative or clerical experience required OR bachelor’s degree required in lieu of experience. Proficiency with MS Office required. Excellent written and verbal communication skills required. Demonstrated ability to multi-task and to work effectively and efficiently with faculty, staff, students, and off-campus professionals required. Demonstrated ability to organize numerous projects, work with attention to detail, consistently meet deadlines, and exercise professional judgment required. Demonstrated ability to work with sensitive and confidential information required Job responsibilities include but may not be limited to: Provides administrative support for the business operations of all three departments. This includes managing the departmental budgets and inter-account transfers, processing check/reimbursement requests, invoices, payments and expense reports. Establishes and maintains filing and record keeping system. Monitors, purchases and organizes office supplies. Oversees and participates in the design of an efficient shared workspace; processes computer requests and submits work orders as necessary. Oversees hiring, trains, schedules and supervises student workers. Ensures the quality of their work before approving it. Provides leadership in maximizing office productivity. Performs receptionist duties such as greeting visitors, answering inquiries, screening telephone calls, and routing incoming calls and mail. Maintains stock of office supplies, including monitoring inventory and reordering as required. Set up meetings and meeting rooms, coordinate special events. Manages reservations for use of the Seidman Conference room. Assists the Master’s in Accounting Program Director in the application orientation and recruiting processes. Processes invoices in a timely manner and maintains files for the departments and the Master’s program. Provides support for faculty in organizing events for programs and clubs run by the departments, including Mock Trial, the Summer Mock Trial Academy, the Tennessee Intercollegiate State Legislature, Rhodes Organization of Investors, the CFA Challenge, and the Entrepreneurship Club. Disseminates pertinent work/college related information throughout the department, including students and work study. Serves as an informational network and liaison on behalf of the department by publishing class schedules, department schedules, work study schedules, and web pages. Operates and maintains a variety of office equipment including personal computers, and copiers. Utilizes appropriate software on the personal computer as needed by the three departments. Regular attendance is an essential function to perform the duties of this position. Physical Requirements: Light work: General office environment that requires sitting on a constant basis. The candidate will perform computer work, keyboard use, and telecommunications on a frequent basis. Manual dexterity will be required to perform keyboard and writing activities on a frequent basis. Visual acuity is required on a frequent basis to read and review print and electronic documents. Reaching and pushing/pulling with a force of up to 10lbs will be performed on a rare basis.
