Job description

Job Title: Administrative Assistant

Job Summary

The Administrative Assistant role is to provide a variety of administrative support to the Education, Career, & Enrichment Department programs. The administrative Assistant will report to the Team Leader of ACES and have additional support from the ECE on-site supervisors. This position also fills in as reception while also providing administrative front desk support. Creating a welcoming environment for all participants and visitors is vital.

While this is administrative position, we function as a team, and all staff members work to support our mission with our youth. All Staff interact with our young people.

Shift Hours

  • This position is full-time Monday –
  • Friday from 9:00
  • AM - 5:00 PM

Salary: The salary for this role is $47,800 per year

Location Address

4West, 125th Street New York, NY 10027. Our office is easily accessible by public transportation.

Workplace Flexibility

On-site - For roles that are 100% in-office/in-person

What You Will Be Doing

  • Update program scheduling calendars to support ECE leadership & Staff.
  • Manager daily petty cash and carfare distribution for participants and staff.
  • Maintain and update program materials, forms, and office supplies.
  • Process invoices as needed.
  • Provide front desk reception, welcoming staff, clients, and visitors.
  • Support leadership from the department with administrative tasks including but not expense reports, ordering of supplies and food, planning trips, data entry, etc.
  • Participate in team meetings, take minutes and circulate to team members.
  • Plan and organize special celebrations and recreational activities.
  • Participate in external and internal trainings to support professional development.
  • Engage with participants in a kind and compassionate manner.
  • Participate in trainings to support professional development.
  • Engage in weekly supervision.

  • Ability to work with finance to manage cash and carfare effectively
  • Commitment to communication via email
  • Mastery in Microsoft Office Suites particularly Microsoft Excel
  • An understanding that our participants and team members have complex experiences that show up in different ways

Preferred Skills/Qualifications

  • Knowledge of the criminal/juvenile justice system or youth development a plus
  • Fluency in Spanish
