The Program Aide/Administrative Assistant is responsible for managing program data, maintaining participant and staff files, and providing administrative support for after-school operations. The Program Aide/ Admin Assistant is responsible for collecting data for the after-school programs. They will provide administrative support by assisting in the coordination
of all aspects of the after-school program and be responsible for the required documentation. The Program Aide/Administrative Assistant will be responsible for the management of both participant and staff files, including but not limited to: attendance, participant records, staff personal files, incident reports, and other documentation needed for the proper function of the program.
Manage all after-school program data entry within the DYCD Connect PTS and Youth Services database systems.
Assist in gathering data and compiling statistical information for program reports.
Provide support to the leaders in the completion of attendance procedures.
Assist with operational needs of the program where needed.
Attends program meetings when needed.
Manages the office to ensure effective telephone and mail communication both internally and externally.
Ensure maintenance of office areas and equipment.
Purchase office supplies, furniture, and equipment, etc. as needed
Contact parents to inform about absences and lateness and early pickups and absences
Help to prepares written materials (e.g. invitations, memos, flyers, letters, etc.) for the purpose of promoting events and documenting activities

Candidates should have at least two years of college education, with preference given to those with credits in early childhood, youth development, or education. Experience working in NYC public schools and proficiency in Microsoft Office and data management systems are required.
