The campus secretary ensures the efficient operation of the school administrative office by providing clerical support and managing daily administrative tasks. Responsibilities include preparing correspondence, maintaining student and staff records, scheduling appointments, and assisting students, teachers, and parents.
Candidates must have a high school diploma or GED, with some college preferred. A minimum of three years of secretarial or clerical experience, preferably in a public education environment, is required.

Education/Certification:High school diploma or GEDSome college preferred Special Knowledge/Skills: Proficient typing, word processing, and file maintenance skillsEffective organizational, communication, and interpersonal skillsAbility to use personal computer and software to develop spreadsheets, databases, templates, and for word processingKnowledge of basic accounting principles Experience: Minimum of three years secretarial/clerical support experience, preferably in a public education environment Major Responsibilities and Duties Prepare written correspondence, forms, schedules, or reports using typewriter and personal computer.Prepare instructional materials, meeting agendas, honor rolls, and campus communication as requested.Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office.Schedule meetings and appointments and maintain calendar for the principal/ director.Assist students, teachers, and parents as needed.Receive incoming calls, take reliable messages, and route to appropriate staff.Maintain physical and computerized files including inventory of office supplies, mailing lists, student records, visitor logs, and office communication as assigned.Update handbooks, policy manuals, and other documents as assigned.Receive, store, and issue supplies and equipment.Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus and district budget records.Prepare and make cash deposits for activity accounts.Maintain copy machines, including ordering supplies, calling for service, and reporting meter readings.Coordinate telephones for teachers and classrooms, maintaining lists of extensions and map of telephone locations.Maintain confidentiality.Assume responsibility for acquiring the knowledge, skills, and attitudes necessary for fulfilling duties.
