  • Category: EducationPURPOSE OF POSITION The Human Resource Clerk is responsible for the administrative support of day-to-day human resource operations. This is a Full-Time Classified/Non-Exempt Position.
  • Reports to: Human Resources Coordinator RESPONSIBILITIES/DUTIES Onboarding Assistance Reference checks for new candidates (every new candidate) Create physical file for new candidate (every new candidate) Assistance following up with candidates Assistance streamlining onboarding in Paycom EE Electronic Folder Maintenance Move all terminated EE folders to the inactive folder (weekly) Move all terminated electronic EE folders to the inactive electronic folder (weekly) All EE correspondence saved in electronic file and labeled for easy access. (Example: Updated TB’s, Transcripts, Written warnings etc.) Scan documents to (HR drive) folders as paperwork comes into the HR department (front and back if necessary) HR Email Checking and maintaining the HR email daily throughout the day Respond to the HR Emails and/or notify team if response needed (ask for assistance if needed) Save all documents turned in via the HR email to respective files on the HR drive and archive in the email Keep team updated with location of important saved documents Filing Organize/alphabetize existing files (physical files) All existing files should be scanned into the HR drive. If not, please scan into HR drive file. All files should be accounted for. If not, they could be stored at Iron Mountain Employment Verifications Completing VOE or letters Completing VOE forms Completing verbal employment verifications PAF’s Entering PAF’s for missed pay due to missed punches Entering PAF’s for any change request Entering PAF’s for terminations/final pay & vacation (with Cherrita) Entering PAF’s for LOA leave dates and LOA returns (repeated below under LOA) Working with payroll manager to maintain request Essa Grids and Binders

A TB Result lasts for 4 years at ISANA Mandated Reporter Training (Safe Schools Site) Blood Borne Pathogens Training (Safe Schools Site) Suicide Prevention Training (Safe Schools Site) Preparing binders for school compliance You will need the print out of all above for the binder/electronic folder (there may be some items not needed for printing Paycom Resetting passwords for employees in Paycom Requesting and Printing Reports Assisting employees with Paycom issues as they come up Assisting employees and supervisors with Paycom inquirie Ordering items for the HR Department Order office supplies to keep HR stocked and organized Printer toner to be ordered when needed Printer troubleshooting with IT when needed Processing payments for conferences (Expense Watch) Processing payments for job fairs (Expense Watch Mailing Preparing items to be mailed (as needed) Certifying the envelope (as needed) Stamping here in the office Taking to the Post Office or mail drop off Reports Print weekly for accuracy Termination Report (weekly) TB Expiration (weekly) Credential Expiration (weekly) Updating EE emails in the Paycom system to reflect all work emails (Ongoing) Assistance updating Himalia and Achernar Grids, TB’s and credential information Working in the field.
