The Enrollment Specialist facilitates the enrollment of legally exempt childcare providers by reviewing applications and documenting information in the childcare facility system. They also manage provider and parent notifications, conduct registry checks, and monitor caseloads to ensure timely processing.
An Associate’s degree in early childhood, education, or social services is preferred, with a Bachelor’s degree being highly desirable. Candidates should possess strong computer skills, excellent communication abilities, and the capacity to maintain strict confidentiality.
Review all provider enrollment applications for completeness. Accurately document provider information into the childcare facility system (CCFS) database. Send notification to parent/provider of any missing information. Generate and mail acknowledgement of enrollment packet to provider and a copy to parent. Send enrollment information packet within the designated timeframe. Call sex offender registry. Generate and mail all pertinent notices to provider and parent in a timely manner. Flag any immediate concerns for home visits including, but not limited to, criminal histories, child removal, and health and safety. Provide information on training services and resources to parents and providers during the enrollment process. Accurately document information on services rendered in WHEDco’s and the New York State’s databases as appropriate. Review caseloads daily to ensure that timelines are being met. Maintain confidentiality of the provider, parent, and children. Other duties as assigned. QualificationsQualifications: Associate’s degree or higher in early childhood, education, social services or a similar field is preferred. A Bachelor level degree in education, human services or similar field is highly desirable. Bilingual ability in Spanish, Chinese, Korean, Japanese or Russian is a plus. Proven ability to multi-task and demonstrate excellent verbal and written communication skills. Strong computer skills and functional familiarity with Excel and Microsoft Word. Excellent attention to detail, team-mindedness, organizational skills, and an ability to learn quickly. Ability to consistently exhibit the flexibility and adaptability to function professionally and objectively in all situations. Proven ability and/or demonstrated work experience where maintaining confidentiality is critical and expected.
