About the role

Provides comprehensive secretarial and administrative support to the Deans of various colleges, including scheduling and clerical assistance. Manages office operations, maintains fiscal records, and updates course offerings and enrollment data.

The University of Rio Grande/Rio Grande Community College is seeking a Secretary for Colleges of Business & Technologies, Health Studies, and School of Business . This full-time position is offered with a comprehensive benefit package including health insurance, retirement, life and disability insurance, paid leave, educational benefits, and all other benefits associated with a full-time employment.

Position Summary

Under general supervision, provides general secretarial, clerical, technical, and administrative assistance for the Deans of the Colleges of Business & Technologies, Health Studies, and School of Business, gathers information, compiles, types, proofs, prints, files, mails, photo copies, and performs other duties as required; provides scheduling assistance to Dean, Chairs, School Secretaries, faculty and staff; coordinates, types, proofs, prints, and distributes various schedules; provides general clerical assistance to department faculty, proofs, archives, and forwards class syllabi, letters, memoranda, etc; performs various receptionists’ duties; answers the phone, takes messages, and handles office mail; and maintains fiscal records for related areas. Implements office operations, procedures, and records maintenance. Monitors and updates course offerings and enrollment numbers each semester in accordance with the Rio course catalog. Position Qualifications:

Associate Degree in related field and 3 to 5 years in an office setting, preferably with increasing levels of responsibility.or equivalent combination of education and experience.

Previous experience at an educational institution is recommended.

Previous office managerial knowledge of modern office procedures and methods; strong knowledge and experience with computer and software applications (including Microsoft Office); and excellent oral and written communication skills required.

Candidates must be willing to participate in special training programs and classes (as required) and demonstrate an ability to work with a diverse population, establish priorities, and work independently in a fast-paced office environment.
