Job description

  • The University of Southern California (USC), founded in 1880, is located in the heart of downtown L.A. and is the largest private employer in the City of Los Angeles.
  • As an employee of USC, you will be a part of a world-class research university and a member of the “Trojan Family,” which is comprised of the faculty, students and staff that make the university a great place to work.
  • The USC Dana and David Dornsife College of Letters, Arts and Sciences is seeking an Administrative Assistant II in the Physical Sciences and Mathematics, Dornsife Academic Support Hub.
  • The largest and oldest of the USC schools, USC Dornsife functions as the academic core of the university, offering courses and advancing knowledge across the humanities, social sciences and natural sciences.
  • Based on a divisional framework, the Academic Services Hubs will provide staff support to approximately 35 departments across Dornsife.
  • Each hub serves one division and the number of departments per division varies.
  • The mission of the Dornsife Academic Services Hub is to provide optimal, localized support to academic departments by providing specialized services that foster the academic, instructional, and research-driven engagement of faculty, staff and students in the Dornsife community.

Responsibilities

The Administrative Assistant II in Physical Sciences and Mathematics will manage department activities within the hub, which may include but will not be limited to the following: Perform varied administrative and general office duties for academic departments Provide guidance and direction to faculty, staff and students Screen and prioritize incoming calls, determining what contact or action is required Initiate a variety of budget and business transactions (ex: Supplier Invoice Requests, Internal Service Delivery, Honorariums, Purchase Orders, Reimbursements) Order supplies for departmental offices and hub Assist in maintaining office equipment and purchases Ensure confidentiality and controls access to sensitive information Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.

Experience in specialized clerical and administrative experience in a university environment Ability to prioritize tasks according to need and urgency Excellent organizational and time management skills The hourly rate range for this position is $25.73 - $32.83.
