About the role

Provides organizational and logistical support for the Encounter High School Discipleship Program, including managing records and coordinating weekly outings. Assists with communication, planning processes, and the improvement of office systems to ensure smooth program operations.

The Administrative Assistant for the Encounter High School Discipleship Program, provides organizational and logistical support for a variety of program activities and events. Work includes managing documents and records, coordinating details for weekly outings, and assisting with communication and planning processes. Also contribute to improving office systems and supporting staff and students as needed to help the program run smoothly.

Hours

This is a part-time position, scheduled for 20 hours per week, during weeks of school operation.

  • Proficiency in spreadsheets, document management, and digital filing systems
  • Ability to coordinate logistics for events, field trips, and other activities
  • Effective written and verbal communication skills

  • Flexibility to assist with a variety of administrative and program support tasks
  • Initiative in identifying and improving procedures or systems
  • Willingness to occasionally participate in student activities or events

Minimum Qualifications

Education:

High school diploma or equivalent required; some college coursework or an associate degree preferred.

Experience: At least 1–2 years of administrative, office, or program support experience (preferably in an educational or ministry setting).

Technical Skills:

Proficiency with Google Workspace (especially Sheets and Docs).

Familiarity with maintaining digital and paper filing systems.

Basic skills in printing, laminating, and preparing materials for events.

Soft Skills:

Strong organizational skills and attention to detail.

Reliable time management and ability to meet deadlines.

Clear and professional written and verbal communication.

Flexibility and willingness to assist with a wide variety of tasks.

Initiative in problem-solving and improving systems.

Team-oriented attitude and ability to work collaboratively with staff, students, and volunteers.

Alignment with the values and mission of a Christian discipleship-based educational program.

Ability to fulfill the physical and work requirements of the job. (See attached)

Ability to pass a criminal background check as well as educational employment history check and reference check.

This position does not qualify for sponsorship of work authorization or an employment visa, so candidates must be legally qualified to work in the U.S. to be considered for this position.

Preferred Qualifications

  • Associate or bachelor’s degree in education, administration, communications, or a related field.
  • Experience working in a school, youth ministry, or nonprofit environment.
  • Familiarity with student or event management systems and online form platforms (e.g., Google Forms/Sheets, SignUp Genius).
  • Skill in creating visual materials such as signage, flyers, or basic print design (Canva)
  • Experience supporting event logistics, scheduling, or volunteer coordination.
  • Proven ability to develop and streamline administrative systems or procedures.
  • Strong interpersonal skills and a warm, approachable presence when working with students and staff.
  • Understanding of and commitment to Christian discipleship values and educational environments.

Requirements

Requires a high school diploma and 1-2 years of administrative experience, preferably in education or ministry. Candidates must be proficient in Google Workspace and pass comprehensive criminal and educational background checks.
