Job Description

UW Athletics has an outstanding opportunity for a Student-Athlete Academic Services (SAAS) Program Coordinator (NE S SEIU 925 Non Supv) to join their team. About this Opportunity Reporting to the Associate Director of Advising and Administration, the SAAS Program Coordinator is responsible for providing comprehensive operational, administrative and programmatic support for Student-Athlete Academic Services by managing department resources, coordinating facilities and events, and maintaining critical systems and communications. The position oversees budgeting, purchasing, and key initiatives such as the Book Scholarship Program while supporting departmental leadership and cross-campus collaboration. This position is primarily in-person, with the option to work remotely one day per week pending approval from the position’s supervisor. Key Responsibilities Management – 50% Manage departmental purchasing and expenditures (~$30K), including budget tracking and cost analysis to recommend efficiencies. Oversee supply ordering, inventory, and proactive resource planning for multiple departments. Direct operations, maintenance, and space management for Graves Annex and Ackerley Academic Center. Serve as primary liaison for facilities issues and emergencies, coordinating with campus partners and external vendors. Administer and oversee the Book Scholarship Program, including budgeting, records, and reimbursements. Coordinate with the University Bookstore, business office, compliance, and student-athletes to ensure accurate textbook processes. Plan and execute departmental events, meetings, and programs, including logistics, scheduling, and payments. Administrative Duties – 40% Provide comprehensive administrative support, including meeting minutes, reporting, and executive assistance. Manage and maintain databases, tracking systems, and key academic and compliance metrics (e.g., APR, GSR). Lead communications efforts, including website updates, social media, digital content, and listserv management. Support awards, recognitions, onboarding/offboarding, and represent the department on committees. Guidance of Student-Athletes – 10% Provide student-athlete support through referrals, guidance, and application of NCAA rules and university policies. Additional Qualifications Strong managerial skills. Experience with budget management. Excellent written and verbal communication skills. Ability to maintain a calm, rational approach to problem solving while working collaboratively with diverse stakeholders including students, parents, coaches, outside vendors, and departmental and campus staff. Detailed knowledge of University policies and procedures and the ability to work in close conjunction with University academic and compliance staff. Ability to work independently with minimal supervision to perform the tasks of the position. Ability to multi-task effectively and complete assignments by established deadlines.
