Job Description

On July 1, 2025, Brown University launched The Thomas J. Watson Jr. School of International and Public Affairs, further building on its commitment to expand and strengthen research and teaching on the world’s most pressing economic, political, social and policy challenges.

About the Role

The Watson School is currently seeking candidates for the Faculty Affairs Coordinator position. The Faculty Affairs Coordinator provides essential administrative and operational support for the full faculty lifecycle at the Watson School. This includes coordinating the logistics of faculty searches and appointments, facilitating the complex onboarding of new scholars – including visa administration – and ensuring data integrity for internal and external reporting. The position reports to the Assistant Dean of Planning and Operations, collaborating with the Dean of the Faculty (DOF) and appropriate units across the university to support joint appointments, new appointments, and reappointments in accordance with University policies. Major responsibilities include: Process faculty appointments, term changes, and status updates in Workday and relevant programs, ensuring all data is entered accurately and workflows are completed on time. Verifies the integrity of faculty letters and collaborates cross-functionally and cross-departmentally to ensure timely processing and signatures. Ensure accurate tracking of faculty teaching loads and committee service for the School’s internal records, partnering with joint departments and academic units to obtain the most accurate and up-to-date information. Direct all logistical aspects of campus visits for search finalists. This includes developing complex interview agendas, coordinating multi-departmental schedules, and managing travel, lodging, and audio-visual requirements. Track and process all search-related expenses and candidate travel reimbursements. Ensure all expenditures align with University and School budget guidelines. Facilitate correspondence and administrative alignment with partner departments at Brown for faculty candidates slated for joint appointments, ensuring a seamless onboarding experience and access to the University’s faculty onboarding and orientation resources. Manage the administrative onboarding for all regular and non-regular faculty, including postdoctoral fellows in coordination with the Academic Program Manager. This includes coordinating office space, IT equipment, keys, and University ID processing. Provide central visa support for all Watson appointments. Serve as liaison with Brown’s International Student and Scholar Services (ISSS), and, in coordination with that office, determine and communicate visa requirements for faculty, non-regular faculty, visitors, and scholars. Support the TPAC (Tenure, Promotion, and Appointments Committee) process by gathering materials and organizing electronic dossiers. Appropriately track TPAC status and alignment with University schedules for TPAC processes and notifications. Education and Experience: Bachelor’s degree and 1-2 years of administrative experience, or equivalent combination of education and experience. *Experience in a complex academic or professional environment is required. Prior experience in faculty affairs, academic recruitment, or supporting tenure and promotion processes within a higher education setting is highly preferred. Experience with international scholar services or visa processing is preferred. Job Competencies: Exceptional organizational skills and the ability to manage a high volume of concurrent tasks with high stakes and strict deadlines. Demonstrated ability to handle highly sensitive and confidential personnel information with the utmost integrity. Excellent written and verbal communication skills; ability to interact with poise when engaging with distinguished faculty, senior administrators, and external candidates. Familiarity with Interfolio, Docusign, Workday, Google Suite, Excel and Word programs preferred. Applicants are asked to include a resume and cover letter.
