Location: This position is located off-campus at the Howard County Extension Office in Ellicott City, MD. Position Summary/Purpose of Position: Under general supervision, provides moderately complex administrative support to Howard County UME office and the County Extension Director. As this positions provides direct support to the 4-H program and faculty, the administrative assistant under general supervision, provides moderately complex administrative support to the 4-H faculty and staff in areas of database support, newsletter development, ordering supplies, organizing and preparing teaching materials, social media and web-site development, registration processing and other duties as assigned. Additionally, will be responsible for knowledge and understanding of the financial systems to monitor 4-H program funds.

Responsibilities

Answer phones for educators and staff. Respond to public inquiries both on the telephone and walk-ins. Provide general support to faculty and staff and the County Extension Director. Supports production and tracking of 4-H statewide processes and requirements to include the volunteer management system and volunteer correspondence. Prepares correspondence, newsletters, forms, reports, signs, press releases, flyers, brochures, PowerPoint presentations, etc. Provides significant support for the fair, 4-H camps, and other 4-H county activities to include scheduling and coordination of meeting spaces for internal and external partnerships. Manage and maintain program supplies, files related fiscal duties, and registration databases.

Additional Information

Candidate must be eligible to work in the United States at the time of hiring. The department will not provide sponsorship for work-visa requirements. Required Application Materials: NA Physical Demands: A part of this position's responsibilities could be to transport materials to and from teaching/program locations, including loading and unloading the vehicle. Set-up and tear-down of event spaces may be necessary.

Minimum Qualifications

EDUCATION: High School Diploma or GED EXPERIENCE: 3 years experience providing administrative support. OTHER: Applicants may be required to complete the institution's required skills assessment to be considered. Some positions require specific skills such as word processing, spreadsheet, presentation, database, email or calendaring software, and Internet proficiency. REQUIRED KNOWLEDGE/SKILLS/ABILITIES: General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effective both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions. OTHER: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
