  • $75,000.00 – $95,000.00 Academic Year: 25-26 JOB SUMMARY The Leave Administration Coordinator I plays a critical role in supporting HISD’s high-performance culture by ensuring the fair, consistent, and compliant administration of employee leave programs. This position manages the day-to-day operations of FMLA, Temporary Disability Leave, ADA accommodations, and other extended leaves in a way that reflects the district’s values of professionalism, equity, and service to schools. The Coordinator upholds legal and policy compliance, protects employee rights, and helps remove barriers that impact the health, wellbeing, and productivity of HISD’s workforce. Through collaboration, responsiveness, and confidentiality, this position supports employees and leaders alike ensuring that HISD remains an employer that honors its people while holding high expectations. MAJOR DUTIES & RESPONSIBILITIES 1. Interpret and Apply Leave Regulations: Apply complex federal, state, and district policies related to FMLA, ADA accommodations, and medical leaves with accuracy, consistency, and commitment to employee rights and legal compliance. 2. Exercise Sound Independent Judgment: Evaluate eligibility for various leave types by reviewing confidential documentation and applying discretion in alignment with both employee needs and district policy expectations. 3. Serve as a Trusted Point of Contact: Act as the primary liaison for employees navigating extended leave, ensuring responsive, empathetic communication and clear guidance throughout the process. 4. Support Data-Informed Leadership: Generate and analyze regular reports on employee leave and absenteeism to inform leadership decisions and identify trends impacting workforce capacity. 5. Advise Campus and District Leaders: Provide expert consultation to principals, supervisors, and senior administrators to ensure the equitable and effective application of leave and accommodation policies. Maintain Confidential and Compliant Records: Ensure all employee records—including sensitive health and accommodation documents—are managed with integrity, confidentiality, and compliance with legal standards. 7. Collaborate to Support Schools and Operations: Partner with payroll and benefits teams to facilitate seamless and accurate processing of leave-related compensation, ensuring continuity and minimizing operational disruption. 8. Commit to Professional Growth: Stay informed on updates to leave laws, district policies, and best practices; participate in training and contribute to a culture of continuous improvement. 9. Escalate Complex Matters Appropriately: Identify and elevate legally sensitive or complex leave cases to senior HR leadership, ensuring risks are addressed thoughtfully and consistently. 10. Model HISD’s High-Performance Culture: Demonstrate professionalism, accountability, and urgency in daily responsibilities, contributing to a districtwide culture of service, excellence, and equity. 11. SKILL AND/OR REQUIRED LICENSING/CERTIFICATION SAP, Microsoft Office, Office equipment (e.g., computer, copier) Basic understanding of FMLA, ADA, and related leave policies is preferred. Strong organizational skills, attention to detail, and ability to handle confidential information. LEADERSHIP RESPONSIBILITIES Work Leadership. Provides informal leadership and guidance to peers or project team members by monitoring workflow, coordinating tasks, and addressing escalated issues. While not responsible for direct supervision, this role supports team effectiveness through knowledge sharing and day-to-day coordination. The majority of work time is spent performing the same core duties as team members. WORK COMPLEXITY/INDEPENDENT JUDGMENT Work is substantially complex, varied and regularly requires the selection and application of technical and detailed guidelines. Independent judgment is required to identify, select, and apply the most appropriate methods as well as interpret precedent. Position regularly makes recommendations to management on areas of significance to the department. Supervision received typically consists of providing directions on the more complex projects and new job duties and priorities. BUDGET AUTHORITY No budget development activity is required. PROBLEM SOLVING Decisions are made on both routine and non-routine matters with some latitude but are still subject to approval. Job is occasionally expected to recommend new solutions to problems and improve existing methods or generate new ideas. IMPACT OF DECISIONS Decisions have considerable impact on multiple divisions or the organization causing risks or improvements to relationships, significant efficiencies, or delays in operations, and/or significant financial gains or expenses. Errors are serious and difficult to discover, normally involve decisions not subject to detailed review and will result in excessive costs and/or significant project delays. COMMUNICATION/INTERACTIONS Collaborate and solve problems – works with others to resolve problems, clarify or interpret complex information/policies, and provide initial screening/negotiations without approval authority. Interactions are typically with customers, senior level professional staff, and managers. CUSTOMER RELATIONSHIPS Leads others in the resolution of highly sensitive and confidential issues on behalf of the department. Acts as a trusted advisor and becomes involved in the customer's decision-making process including presenting alternatives and information and applying persuasion and negotiation skills in the resolution of problems. Monitors customer service standards. WORKING/ENVIRONMENTAL CONDITIONS Work is normally performed in a typical interior work environment, which does not subject the employee to any hazardous or unpleasant elements.
