  • Description: This position primarily serves as the “program(s) registrar” for the School of Dentistry, communicating with the UofL Registrar’s Office, Bursar’s Office, Office of Academic Planning and Accountability, and the Graduate School regarding students, curriculum, tuition and fees, class scheduling and faculty. Also provides faculty with support in curriculum, syllabus management, course grading and academic matters. Duties and Responsibilities

Serves as custodian for the official academic records of all students following matriculation through degree conferral. Maintains and archives academic records of all graduates from the School of Dentistry. Serving as the primary liaison for the registrar's office. Monitors grade rosters and processes grade changes. Calculates, maintains and provides GPA and class rankings (DMD and DH) each semester. Maintains records of National Board results. Registers student cohorts for classes through the UofL Registrar’s office. Notifies students of financial holds on accounts or other issues preventing timely enrollment. Verifies the accuracy of honors and degree referrals and works closely with the Office of Student Affairs at the graduation ceremony. Verifies Commencement Book information including all graduation honors and student awards. Maintains programs of studies for the MSD students. Enters Graduation Honors and degree clearance verifications for students in PeopleSoft. Researches and responds to credentialing requests for alumni. Organizes and facilitates the Awards Program. Monitors course shell creation on Blackboard and follows up to open year-long courses early so course materials may be shared. Troubleshoots problems for students and faculty regarding access to Blackboard, curriculum, and other academic matters. Communicates with courses directors to ensure that syllabi are uploaded correctly and timely each semester. Participates in template development for syllabi. Monitors access to and faculty evaluations for course directors each semester in BlueEval or other system. Ensures that course schedules, room and faculty assignments are accurately recorded in PeopleSoft and communicated to the Registrar’s Office. Maintains the course inventory for the School of Dentistry, and the entries in the Curriculum Inventory Management (CIM) System. Serves as the Exam Soft Administrator. Updates ULSD Bulletin and participates in team review of student handbooks. Documents all student approved leaves of absence, suspensions, withdrawals. Monitors Service Account daily. Responsible for preparing student progress promotion comm Other duties as assigned.

Preferred Qualifications

Detail oriented, organized, ability to work independently, read and process information quickly, and draft correspondence and policy. Good time-management skills, team player, and fosters positive working relationships with other university units. Accurate and quick data entry skills. Prior experience involving student curriculum, student enrollment, or other student services Proficient in Microsoft Office products: Excel, Word, and Outlook email. Experience in software/web-based platforms: PeopleSoft, CourseLeaf, Blackboard, and ExamSoft. Target Compensation Maximum: $32.98 Target Compensation Minimum: $21.99 Compensation will be commensurate to candidate experience.
