Position Summary

Heathwood Hall seeks a methodical and proactive Human Resources & Talent Acquisition Assistant to bolster our expanding faculty and staff. In this multi-faceted capacity, you will provide the critical administrative framework for daily HR operations while actively facilitating candidate engagement and selection. Responsibilities include managing the logistics of the recruitment pipeline-from initial sourcing to final scheduling-as well as supporting essential personnel relations, onboarding protocols, and database integrity. The ideal candidate will be an empathetic and skilled communicator, capable of managing diverse priorities while maintaining the highest standards of confidentiality regarding sensitive organizational data. Essential Functions Talent Acquisition Support Identify and attract prospective candidates through strategic sourcing across professional job boards, LinkedIn networks, and internal talent databases. Orchestrate the publication of employment advertisements across diverse recruitment channels and various social media platforms. Perform initial evaluations of applicant resumes to ensure alignment with defined hiring requirements and established qualification benchmarks. Facilitate the coordination of interview logistics, effectively bridging communication between candidates, recruiters, and internal departmental managers. Proactively manage candidate correspondence to cultivate a seamless and professional engagement experience throughout the selection lifecycle. Administer comprehensive background screenings and professional reference verifications for designated finalist candidates. Manage and facilitate the end-to-end onboarding and offboarding procedures for all personnel. Execute and verify all necessary pre-employment background screening and professional reference evaluations. Administer and respond to all official employment verification requests and unemployment notifications. Deliver comprehensive administrative assistance and operational support to the Director of Human Resources with capability to step in for operation continuity. Cultivate and maintain a professional and welcoming experience for all potential candidates throughout the selection process. HR Operations & Administration Support Maintain the integrity and confidentiality of personnel records by ensuring all digital and physical employee files remain compliant and current. Facilitate the end-to-end employee onboarding process, including the management of pre-employment documentation, technical configurations, and orientation scheduling. Coordinate internal organizational projects, such as employee engagement initiatives, professional training sessions, and organizational climate surveys. Serve as a professional point of contact for staff members regarding general human resources policies and established operational standards. Serve as a secondary for Human Resources Director to support the school's succession efforts to promote continuity in business functionality Specific Job Skills The ideal candidate will: Demonstrate meticulous attention to detail and a proven capacity to synchronize multiple complex schedules and/or tasks concurrently. Possess a foundational comprehension of relevant local, state, and federal labor regulations and employment standards. Possess sophisticated verbal and written communication capabilities characterized by a proactive and empathetic service orientation. Demonstrate proficiency in maintaining the rigorous security and confidentiality of highly sensitive personnel and financial information. Possess a positive attitude with focus on solution driven thinking and 'how-to' mindset Education and Experience Four year degree required, in business administration, or related equivalency 2 years of experience in an administrative role, ideally within HR or recruiting, preferred Proficiency with Applicant Tracking Systems (ATS), HRIS software, and Google Suite Possession of, or the active pursuit toward, recognized professional human resources certification (e.g., SHRM-CP or PHR). Working Conditions Expansive school campus with 122+ acres, must be able to travel between buildings independently.
