SUMMARY The Nolensville Next Generation Ministries Administrative Assistant is responsible to the church, under the direction of the Next Generation Minister for providing professional administrative support and assistance in all areas of weekly programs, special events, catalytic events, outreach events or projects, and other church sponsored community events that are a part of Next Gen. Ministry areas which include Preschool, Children, Student, FAM, and Embrace Ministries. PRIMARY JOB RESPONSIBILITIES may include but are not limited to the following:
Assists in the implementation of weekly ministry programs by providing administrative support to Next Gen. Ministry staff. This includes scheduling and updating of room reservations, preparation of curriculum, the purchase and organization of supplies, and communication with leaders, students and parents
Administer daily / weekly details of the Next Gen. Ministries including administrative support to lay leaders as needed
Provide administrative support for special events related to Next Gen. Ministries
Participate in weekly staff meetings
Track, record, and report Sunday and Wednesday attendance and enter rolls into Ministry Platform for all Next Gen. Ministry areas
Track, record, and report the volunteer application process and Ministry Safe requirements and enter completed tasks and steps in Ministry Platform. Work with Next Gen. Ministers to make sure that all new or incoming volunteers have completed the vetting processes and have passed their background checks
Answer and return phone calls regarding general Next Gen. Ministry information
Assist in following up with visitors in Next Gen. Ministries each week
Assist in monitoring Next Gen. Ministries budgets by collecting payments for events and making deposits into Next Gen. ministry accounts
Administrative support for sub-ministries (Embrace – Special Needs, FAM – Foster and Adoption, Missions, etc) including administrative support to lay leadership as needed.
Communication with families through mail-outs, emails, texts, phone calls, social media, etc.
Organize and maintain all files in the Next Gen Ministry office.
Oversee and proof all print material coming from the Next Gen Ministry.
Oversee and update the Next Gen campus pages on the website with events and accurate information.
Oversee and update the Next Gen social media (posts, reels, stories, etc)
Logistics for special events including, but not limited to, transportation, lodging, meals, student event registrations, etc.
Work with the Communications Team to request bulletin announcements, inserts, web articles and banners and other promotional needs
Credit card reconciliation for Preschool, Children, and Next Gen. and Student Ministers

As needed, work with Communications, Facilities, and Tech in securing all applicable resources
Overall next gen. Support
Assist in scheduling and preparation for monthly Next Generation staff meetings
Provide administrative support for special events related to Next Gen and family ministry, outside event partnerships
Provide administrative support for any sermon emphasis throughout the year
Logistics for special events including registrations, bookings and payment of speakers
OTHER RESPONSIBILITIES may include but are not limited to the following
Participation in staff meetings as required by the department
Participate and attend catalytic events, special events, and parent + leader meetings as assigned.
Complete applicable weekly/quarterly/annual reports required by the department
Assist with Ministers in Residence onboarding/needs as requested
Respect and maintain the confidentiality of the Next Gen office.
Assist during events as needed.
Complete other duties as assigned by supervisor

Education & experience
Minimum of a Bachelor’s degree is preferred.
